Project Administration Lead

To help support our growing portfolio of larger and more complex projects, we are seeking a Project Administration Lead. You will support project execution within our Offshore Energy portfolio, work within tender processes and provide operational support to our management and employees across the team to ensure smooth day-to-day operations.

Most of our projects are now focussed on the energy transition, including offshore wind and CCS projects across Europe and worldwide. Our clients are typically international energy companies and contractors. Project teams are established across NGI’s departments and international offices. As a research institute, we also work within large research and development projects towards the Norwegian Research Council and the EU. This combination of projects and know-how ensures a stimulating knowledge-based working environment.

Main tasks 

The successful candidate will work closely with our project managers, and the Offshore Energy management team with 5 sections in Oslo. Your work will combine project execution and operational support, including:  

  • Financial tracking of projects, supported by our finance team. 
  • Progress reporting for clients. 
  • Proposal support and preparation including prequalification questionnaires, resumes and project references.
  • Coordination and participation in regular meetings with the project team and client. 
  • Compilation of deliverables (reports, figures, charts) for issue to clients. 
  • Operational coordination across the sections in Oslo, with respect to events, courses, onboarding of employees and travel.
  • Interaction with NGI’s central administrative functions, including finance, QHSE, Communications, digital services and People and Development. 

Areas of experience 

  • 2 - 5 years’ experience within the offshore or construction sectors. 
  • Experience in international projects.
  • Proven experience as a project administrator or similar role, preferentially within Consultancy ​or R&D  
  • Training in project administration (formal project management skills an advantage).​  
  • Experience in financial tracking of projects.​  
  • Experience in cooperation with external partners and clients.  
  • English​ as a main working language.   
  • Proficient in the use of MS Office, particularly Word and Excel (PowerBI and Project an advantage).
